GUEST BOOKING TERMS & CONDITIONS

North East Escapes acts as an agent on behalf of property owners (“Owners”) to arrange bookings of their properties (“Properties”).

You can find full details about us and the Properties on our website before placing a booking. Key information will also be confirmed to you in writing.

These Terms and Conditions apply to all bookings once accepted by us on behalf of the Owner. Together with your booking details, they form the contract (“Contract”) between you and the Owner.

By making a booking, you confirm acceptance of these Terms and Conditions.


1. CONTRACT

The Contract is between you and the Owner. North East Escapes is not a party to the Contract and acts only as an agent.

The Contract becomes effective when we send your Booking Confirmation. It is not effective before this point, even if payment has been taken.

Do not make travel arrangements until you receive your Booking Confirmation.

Booking Confirmation includes:

  • Property details and booking period

  • Amount paid

  • Remaining balance and due date

If anything is incorrect, notify us immediately.

Amendments:

Changes may be requested but are subject to a £50 administration fee per amendment.

Additional Conditions:

  • Bookings are for holiday purposes only

  • Minimum age: 18 years

  • Maximum booking duration: 28 days

  • Prices may vary for different dates, but once confirmed, your price will not change

We reserve the right to adjust arrival/departure times where reasonably necessary.


2. BOOKING FEE (NON-REFUNDABLE)

A non-refundable booking fee is payable at the time of booking.

Once the Booking Confirmation is issued, this fee cannot be refunded.


3. DEPOSIT & PAYMENT

Payment Terms:

  • Bookings made more than 6 weeks in advance require a deposit

  • Bookings made within 6–10 weeks require full payment

Booking Confirmation is only issued once payment is received.

Final Payment:

The remaining balance is due 6–10 weeks before the booking start date.

Failure to pay may result in cancellation.

Additional Notes:

  • Overseas payment charges are your responsibility

  • VAT is included where applicable

  • Prices may be adjusted due to errors or VAT changes


4. CANCELLATION BY YOU

Holiday bookings are not subject to standard “cooling-off” periods.

Cancellation Policy:

  • Within 24 hours of Booking Confirmation: refund minus booking fee

  • After 24 hours: full Guest Price remains payable

If you cancel:

  • We will attempt to re-let the property

  • If successful, you may receive a refund minus:

    • £60 admin fee

    • Booking fee

    • Any price shortfall

If not re-let, no refund will be given.

Travel insurance is strongly recommended.


5. CANCELLATION BY US OR THE OWNER

If the Property becomes unavailable (including due to a Force Majeure Event), your booking may be cancelled.

You will be offered:

  • Alternative dates/property (subject to availability)

  • A voucher

  • A refund (less applicable fees such as booking fee)


6. PROPERTY INFORMATION

We aim to ensure accuracy in all listings, but:

  • Amenities listed are not exhaustive

  • We cannot guarantee:

    • Non-smoking environments

    • Pet-free properties

    • Secure gardens


7. YOUR RESPONSIBILITIES

You must:

  • Take reasonable care of the Property

  • Leave it clean and tidy

  • Vacate by 9:00 AM on departure day

Cleaning fees may apply if standards are not met.


8. YOUR PARTY

You are responsible for:

  • Ensuring guest numbers do not exceed limits

  • Behaviour of all guests

We may:

  • Refuse entry or remove guests exceeding limits

  • Cancel bookings for unsuitable groups

No refunds will be given in such cases.

Stag and hen parties are not permitted unless approved.


9. AMENITIES

Use of facilities (e.g. hot tubs, pools, gyms) is at your own risk.

We are not liable for:

  • Injury

  • Loss or damage to belongings

Wi-Fi is:

  • Not guaranteed

  • For personal use only


10. PARKING & ELECTRIC VEHICLES

  • Park only in designated areas

  • Vehicles are parked at your own risk

Electric vehicles:

  • Must use approved charging points and cables

  • Excessive use may incur additional charges


11. KEYS

Keys and access items must be returned as instructed.

Failure to do so may result in charges up to £50.


12. ACCESSIBILITY

Please inform us of any health or mobility needs before booking to ensure suitability.


13. PETS

  • Only permitted where stated

  • Must be treated for fleas and worms

  • Must not be left unattended

Guide dogs are allowed free of charge.

We cannot guarantee properties are free from pet allergens.


14. DAMAGE

You are responsible for:

  • Reporting damage immediately

  • Paying repair or replacement costs

We may enter the property if necessary, including in emergencies.


15. COMPLAINTS

Report issues immediately so they can be resolved.

Complaints made after your stay may not be considered.

We are not responsible for:

  • External noise

  • Third-party disruptions


16. LOST PROPERTY

We are not liable for lost items unless due to negligence.

  • Unclaimed items disposed of after 4 weeks

  • £20 admin fee + postage applies for returns


17. DATA PROTECTION

See our Privacy Notice for details on how your data is used.


18. LIABILITY

We do not exclude liability where legally prohibited.

We are not liable for:

  • Events beyond our control

  • Owner actions or property issues

Liability is limited to the amount paid for the booking.


19. GENERAL TERMS

  • Contract may be transferred with notice

  • Invalid terms do not affect the rest

  • Delays in enforcement do not waive rights


20. LAW & JURISDICTION

These terms are governed by English law.


21. DEFINITIONS

Booking – Your reservation of the Property

Booking Confirmation – Written confirmation of your booking

Booking Period – Dates of your stay

Contract – Agreement between you and the Owner

Deposit – 25% of total Guest Price

Force Majeure Event – Events outside reasonable control (e.g. natural disasters, war, pandemics)

Guest Price – Total cost including fees and VAT

Hirer – The person making the booking

North East Escapes – North East Escapes Ltd (Company No. 15646701)

Owner – Property owner

Property – Accommodation booked
